How to Invite a Therapist to Your Center
4 min read
Invite clinicians by email, assign roles, and understand activation plus security expectations.
Why invitations matter
Therapist access touches protected health information, billing approvals, and sometimes tele-rehab assets. Role-based invitations ensure every action is attributable in the audit log—something Indian data protection conversations now expect. Never hand your super-admin password to a new hire; instead, grant the least privilege needed for their first week and expand after credentialing checks.
Sending an invite
- Navigate to Staff → Invite team member.
- Enter a monitored work email account; personal free-mail domains frequently land in spam when clinics route through strict Zoho or Microsoft filters.
- Pick the precise role pack—Therapist handles sessions and notes, Senior Therapist unlocks QA loops, Admin manages billing overrides.
- Paste the onboarding checklist link or Loom walkthrough URL inside the invite comment box so hires know where to begin before day one.
After the invitation sends
- MileEvo emails a signed activation URL that expires quickly—remind recruits to finish within the same business day when possible.
- New clinicians choose passwords satisfying tenant complexity rules and confirm OTP/TOTP depending on whether your center forces multi-factor authentication.
- First login launches profile completion capturing RCI registration numbers, specialties, spoken languages, and upload slots for credential PDFs HR already verified offline.
Troubleshooting common scenarios
- Still waiting on mail? Ask IT to whitelist outbound MileEvo domains, then use Resend invite inside Staff audit logs rather than forwarding screenshots insecurely.
- Wrong privileges assigned? Revoke the stale invite completely before issuing a corrected one—silent privilege edits bypass governance reviewers.
